Beyond Borders Travel is a fully accredited and licensed travel company, holding all permits necessary to conduct business as a UK travel agency.
Effective Date: 1 May 2025

1. Introduction

Shoeshoe Tiitinen Ltd t/a Beyond Borders Travel (“we”, “us”, “our”) provides bespoke travel planning and booking services.
When you make a booking with us, you agree to these Terms and Conditions, which form a legally binding contract between you (the “traveller” or “client”) and the suppliers of the travel arrangements featured in your itinerary. We act as an agent on behalf of airlines, hotels, ground operators, and other third-party suppliers.
Each supplier’s own terms and conditions also apply to your booking, and you agree to be bound by them. Where Beyond Borders Travel packages two or more travel services as a single booking, such arrangements are protected under the UK Package Travel and Linked Travel Arrangements Regulations 2018.
In all other cases, we act solely as an agent for the relevant suppliers. For clarity, the term “professional service component” refers to the portion of the total trip cost retained by Beyond Borders Travel to cover professional planning, design, coordination, and administrative services. This component is separate from supplier costs held in trust.

2. Booking Process

Your booking is confirmed once we issue written confirmation and receive the required deposit or full payment. The lead traveller is responsible for ensuring that all information provided on behalf of their party is accurate and complete. Please check all details carefully upon receipt of your confirmation. Any errors must be reported immediately. Amendments made after confirmation may incur additional supplier or administrative charges.

3. Payments

All prices are quoted in the currency shown on your invoice. Unless otherwise agreed in writing: A deposit amount will be specified at the time of booking. This deposit includes Beyond Borders Travel’s professional planning and coordination component, which covers design, consultation, and administrative services.

The professional component is non-refundable once itinerary design work has commenced or supplier arrangements have been confirmed. The remainder of the deposit and any balance payments are subject to the respective suppliers’ terms. All deposits are non-refundable once supplier confirmations have been issued, as they include the professional component and any supplier cancellation charges applicable from the date of booking. The remaining balance is payable no later than 30 days before departure. If paying by bank transfer, please ensure that all bank fees are covered so that the full invoiced amount is received.

All client monies are held in a Protected Trust Services (PTS) client trust account until travel arrangements are fulfilled, in accordance with UK consumer-protection regulations. If full payment is not received by the specified due date, we reserve the right to cancel the booking and retain any amounts corresponding to the non-refundable professional component and supplier-imposed charges. We reserve the right to charge interest at 2 per cent per month on overdue balances until payment is received in full.

4. Amendments and Cancellations

All amendment or cancellation requests must be made in writing by the lead traveller. The effective date of any cancellation is the date on which written notice is received by Beyond Borders Travel.

Cancellation or amendment charges are determined by the relevant suppliers and may be up to 100 per cent of the total booking cost. We will advise you of any such charges before confirming changes.

Beyond Borders Travel’s professional planning and coordination component is non-refundable under all circumstances, including client-initiated cancellation, reduction in traveller numbers, or change of travel dates. Refunds will be processed net of this non-refundable professional component and based on the recoverable amounts from suppliers, excluding transaction fees and third-party charges.

Where only a deposit has been paid, the non-refundable amount equals the professional component plus any supplier cancellation penalties in force at the time of cancellation. If we must cancel a trip due to circumstances beyond our control (for example, force majeure, supplier insolvency, or government restrictions), we will assist in obtaining any available supplier refunds or rebookings. Our professional component remains non-refundable as it covers work already performed.

Supplier Cancellation Schedule

Unless otherwise stated in writing, the following supplier-level cancellation charges apply to confirmed bookings. These charges are imposed by our travel partners (such as hotels, ground operators, and destination management companies) and are in addition to Beyond Borders Travel’s non-refundable professional service component:

  • From the day of confirmation: 15 % of the total fee

  • 90 – 76 days prior to arrival: 20 % of the total fee

  • 75 – 61 days prior to arrival: 25 % of the total fee

  • 60 – 46 days prior to arrival: 65 % of the total fee

  • 45 – 0 days prior to arrival: 90 % of the total fee

  • No-show: 100 % of the total fee

  • All flights are strictly non-refundable once ticketed.

Supplier policies may vary by region, property, or service type. Where a supplier’s policy differs, the more restrictive terms will apply unless otherwise stated in writing at the time of quotation or confirmation.

Refunds, where applicable, will therefore be calculated net of both supplier penalties and Beyond Borders Travel’s professional service component (including any commissions or design fees already earned).



5. Travel Insurance
Comprehensive travel insurance is a condition of booking with Shoeshoe Tiitinen Ltd t/a Beyond Borders Travel. Your policy must provide cover for: - Medical expenses and repatriation - Trip cancellation, interruption, or delay - Loss, theft, or damage of personal belongings - Any additional cover required for your chosen destination Beyond Borders Travel does not provide insurance advice or endorse any specific policy.
Each traveller is responsible for securing appropriate cover. Proof of valid travel insurance may be requested before final documents are issued. Travellers who fail to obtain adequate cover do so entirely at their own risk, and we accept no liability for any resulting losses.

Failure to provide proof of adequate insurance may result in cancellation, subject to supplier and professional component retention terms above. We strongly recommend arranging cover as soon as your booking is confirmed, as many policies include pre-departure benefits.

6. Traveller Responsibility

Travellers are responsible for ensuring that passports, visas, vaccinations, insurance, and any other travel documents or requirements are valid and up to date for their journey. Beyond Borders Travel can provide general guidance, but compliance remains the traveller’s responsibility. Failure to meet entry or health requirements may result in denied boarding or entry, for which we cannot accept liability.

7. Supplier Responsibility

Shoeshoe Tiitinen Ltd t/a Beyond Borders Travel acts solely as an agent for third-party suppliers. We are not liable for any acts, omissions, or defaults of those suppliers, except where required by law. Your contract for the provision of travel services lies directly with the supplier or suppliers. All bookings are subject to their own terms and conditions, including cancellation and refund policies.

8. Itinerary Changes

Occasionally, it may be necessary to adjust an itinerary or replace a service due to operational or external circumstances such as weather, safety concerns, or supplier changes. When this happens, we will provide alternatives of the same standard and value wherever possible. Any additional costs arising from such changes will be the traveller’s responsibility unless otherwise agreed.

9. Behaviour and Conduct

All travellers are expected to behave respectfully toward others and comply with instructions from guides, hosts, or service providers. We reserve the right to refuse service or terminate participation if behaviour is unsafe, illegal, or disruptive, without refund.

10. Force Majeure

Beyond Borders Travel cannot accept responsibility or liability for any loss, delay, or change to travel arrangements caused by circumstances beyond our control. This includes but is not limited to natural disasters, extreme weather, epidemics or pandemics, acts of terrorism, strikes, political unrest, or decisions made by local authorities.

Refunds in such cases will depend on the policies of individual hotels, airlines, and service providers involved. Where possible, we will assist in making alternative arrangements, but any additional costs will be the responsibility of the traveller. 

Any refunds in such cases will be limited to recoverable supplier funds and exclude the non-refundable professional component and any unrecoverable third-party charges such as flights or permits.

11. Complaints

If an issue arises during your trip, please inform the local supplier or contact us immediately so that we have the opportunity to resolve it. If a problem remains unresolved, you must submit your complaint in writing within 14 days of returning home. We will liaise with the relevant supplier to reach a fair resolution.

12. Liability

Beyond Borders Travel acts as an intermediary between clients and third-party suppliers, including airlines, hotels, transport providers, and activity operators.
We make arrangements in good faith but do not own or operate these services and cannot be held responsible for their acts or omissions.

Our liability is limited to the total value of services booked with us and does not extend to loss, damage, accident, delay, injury, or irregularity caused by third parties or by circumstances beyond our control.

13. Service Fees and Surcharges

A non-refundable professional service component is included in all quoted trip costs to cover itinerary design, consultation, coordination, supplier communication, and administrative services provided by Beyond Borders Travel from the outset of the booking process.

This professional component is separate from supplier costs held in trust and is non-refundable once work has commenced or supplier arrangements have been confirmed, irrespective of later changes or cancellations.

In the event of cancellation, any refunds issued will be processed net of both supplier penalties (as outlined in Section 4: Amendments and Cancellations) and the non-refundable professional service component. This applies whether the cancellation occurs before or after the final balance payment is made.

All Beyond Borders Travel quotations include this professional service component as part of the total trip cost. By proceeding with payment, the client acknowledges and accepts that this component forms part of Beyond Borders Travel’s remuneration for professional expertise and is excluded from any refund calculations.

Additional supplier fees or surcharges (for example, changes in fuel costs, local taxes, or exchange rates) may apply after confirmation. Clients will be notified in advance of any such adjustments, and acceptance will be deemed upon continued payment of the booking balance.



14. Data Protection

We are committed to protecting your privacy. Personal data provided to us will be used only for the purpose of managing your travel arrangements and in accordance with current UK data-protection law.

15. Acceptance of Terms

By instructing Shoeshoe Tiitinen Ltd t/a Beyond Borders Travel to make travel arrangements, you confirm your acceptance of these Terms and Conditions.

Payment of a deposit or any part of the booking amount constitutes full acceptance of these Terms and Conditions on behalf of all travellers named on the booking.

These Terms are deemed accepted once payment is made against an invoice issued by Beyond Borders Travel or upon submission of the Traveller Acknowledgement Form.

Any amendments or variations to these Terms must be expressly agreed in writing by Beyond Borders Travel, and email confirmation is sufficient.

These Terms and Conditions are governed by the laws of England and Wales, and any disputes shall fall under the exclusive jurisdiction of the courts of England and Wales.
